The terms that apply when you use this website, and the house rules that apply when you stay with us.

About these terms

These terms govern your use of the Cedar Hollow website, and set out the house rules for staying at our retreats. By browsing the site you accept the website terms. By booking a stay you agree to the stay terms below, which form a legally binding agreement.

Please read them carefully before you visit.

Using this website

What this site is for

You may use this site to find information about our retreats and to contact us. You agree not to misuse it: no attempting to gain unauthorised access, no interfering with how it runs, and nothing unlawful.

Accuracy of what you read here

We take care to describe our retreats accurately, including sleeping capacity, facilities and indicative nightly prices. Prices shown here are a guide and are confirmed at the point of booking. Facilities can change, and availability is never guaranteed by this site alone.

Where bookings happen

Bookings are not completed on this website. Our “check availability” links take you to our booking sites, where the booking is made. The contract for your stay, together with payment, deposits, cancellation and refunds, is governed by the terms of the site you book through. Please read them before you confirm.

Intellectual property and links

The content of this site, including text, photography, branding and design, belongs to Cedar Hollow or is used with permission. You may not reproduce it for commercial purposes without our written consent. Where we link to other websites, including our booking partners and review sites, we do so for convenience and are not responsible for their content or their practices.

Staying with us

Booking and payment

  • Full payment is taken at the time of booking.
  • Prices are in pounds sterling and include VAT.
  • Bookings are not transferable unless we agree otherwise in writing.

Cancellations and changes

  • Cancel 30 or more days before check-in for a full refund, less a 5% payment provider fee.
  • Cancel 7 days before check-in for a 75% refund.
  • No refunds for late cancellations, no-shows or early departures.
  • Changing your dates is free. If you move to a different season, you pay the difference.

Check-in and check-out

  • Check-in from 3:00pm. You are welcome to arrive from 1:00pm and enjoy the grounds.
  • Check-out by 11:00am.

Guest responsibilities

  • Please follow the house rules at the retreat.
  • The lead guest must be 21 or over and is responsible for the group.
  • Do not exceed the maximum number of guests for your stay.
  • No parties, no loud music and no fireworks.
  • No smoking anywhere on site.
  • Be kind to the nature around you.
  • Damage or missing items will be charged for.
  • Use of fireworks or Chinese lanterns forfeits your deposit.

Noise

These are quiet woodlands and sound carries further than you would expect. Boomboxes and external speakers are not allowed.

Smoking

Our sites are completely smoke-free. Smoking outdoors is charged at £50 per incident, and smoking indoors carries a £200 cleaning fee. Thank you for helping us protect this place.

Pets

Cedar Hollow Oxford is home to five much-loved cats, so we cannot welcome dogs there. We hope you understand.

Maximum stay

As a condition of our planning permission, bookings at Cedar Hollow Oxford are limited to a maximum of seven nights.

Hot tubs and saunas

  • Use them at your own risk, and take particular care with children. We do not recommend them for under-12s, though we leave that to your judgment.
  • Please shower first and remove make-up.
  • Water left dirty attracts a £100 deep clean charge from your deposit.

Pool, tennis and grounds at Cedar Hollow Oxford

  • Children's swimming times are pre-booked in one-hour slots between 09:00 and 21:00.
  • There are no lifeguards on duty, so please swim safely.
  • The pool bathroom is shared with guests staying in Beaver's Den and Spare 'Oom.
  • Lawn and table tennis equipment is in the box by the court, and court slots are booked in advance.

Accessibility

We believe the woods should be for everyone. Our flagship treehouse at Cedar Hollow Oxford is wheelchair accessible by a woodland ramp. It remains a natural site, so please get in touch about any specific needs and we will tell you honestly what is possible.

Diversity and inclusion

Everyone is welcome here. We embrace all backgrounds, identities and abilities, without judgment or prejudice.

Experiences run by other people

Massages, horse riding, private chefs and similar experiences are booked separately and run by their own providers. They set their own cancellation policies, so please check directly with them.

Forgotten property

We are happy to return anything you leave behind. There is a £14 handling fee, which goes to our cleaner, plus postage.

Liability and insurance

Cedar Hollow is not responsible for injury, loss or theft during your stay. Facilities such as hot tubs, barbecues and firepits are used at your own risk, and safety instructions must always be followed. Please make sure you have appropriate travel insurance.

This website is provided on an “as is” basis, and to the fullest extent permitted by law we exclude liability for any loss arising from reliance on the information here. Nothing in these terms limits our liability for death or personal injury caused by negligence, for fraud, or for anything else which cannot lawfully be excluded.

Changes and governing law

We may update these terms from time to time. The version published here is the one that applies, and the date above tells you when it last changed. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
